A document controller from India for UAE companies
Same role, different cost. A dedicated document controller who works your hours, in your document system, managed from a supervised office by Lydon.
What a document controller does
A document controller keeps a company’s documents in order: what exists, which version is current, who has approved it and where it has been sent. The role is common in construction, engineering, facilities and project-driven businesses, where a missing or outdated drawing, contract or approval has a real cost.
Typical responsibilities include:
- Maintaining document registers and indexes.
- Version control, so everyone works from the current revision.
- Logging and tracking submissions, transmittals and approvals.
- Filing, naming and archiving documents consistently.
- Chasing outstanding approvals and reporting what is late.
- Preparing document lists and status reports for managers.
Your own procedures and document system decide the details. The team member works in your system and follows your naming and approval rules.
The salary comparison on the Lydon site
The cost page uses the document controller role as its worked example, taken from the Lydon Group company profile:
| Typical salary | |
|---|---|
| Dubai | AED 3,000 and above |
| India | AED 1,400–1,500 |
These are salary levels from the company profile. They are not Lydon’s monthly rate, which is quoted per role and includes the workplace, the operations and the replacement process.
The point of the comparison is the budget. For the cost of one mid-level hire in the UAE, a business can run on a senior, experienced professional in India, or on more than one seat.
What “managed” adds
Document control is a role where discipline matters more than speed, so supervision matters. The seat operates from a supervised office with CCTV, access control and backup power. Attendance is recorded biometrically every day. You have a named escalation contact if something goes wrong, and you work directly with the person on the job itself.
The employment sits with Lydon, so a resignation does not become your recruitment project: if an employee resigns, we replace within 45 days, and you are not billed for a seat sitting empty.
Confidentiality for sensitive documents
Contracts, drawings and approvals are often sensitive. A mutual NDA is signed before any data moves, ownership of all work product is stated in writing, and you keep control of access, because the team uses your systems and your logins. Give access only to the folders the role needs, and remove it when the seat ends. The article on offshore team safety explains how to set this up.
How to request one
- Tell us your document system, the volume of documents and the level of experience you need.
- We send screened candidates with the complete monthly cost.
- You interview and choose.
- The seat starts, working 08:30–17:30 UAE time.
How to set up a document control seat
A document controller is only as good as the rules they are given. Before the seat starts, pull together the following:
- Your document naming convention and folder structure.
- The approval workflow: who reviews, who signs, and how long each step should take.
- The register template or system fields you want maintained.
- A list of document types and the confidentiality level of each.
- A clear rule for superseded documents, so old versions are archived rather than deleted.
If you do not have these written down, the first task for the new team member can be to document the process you actually follow, and for you to correct it. That gives you a written procedure you can reuse.
Who benefits most
Document control pays back fastest where one lost or outdated document is expensive: construction and fit-out contractors, engineering consultants, facilities and maintenance companies, and any business that submits documents to clients or authorities and needs to prove what was sent and when. If your managers or project engineers are currently doing this work in the evenings, a dedicated seat is usually the cleanest fix.
Questions, answered
Can the document controller work in my own document management system?
Yes. The team uses your systems with your logins, and you keep control of access.
Is the AED 1,400–1,500 figure what I would pay?
No. It is the India salary level shown from the company profile. Lydon’s monthly rate is quoted per role and includes the workplace and operations. We send the complete monthly cost with the candidates.
What if my document controller leaves?
If an employee resigns, Lydon replaces within 45 days and you are not billed for a seat sitting empty.
How long is the commitment?
30 days’ notice. You can start with one seat.
Start with one seat
Tell us the role. We send screened candidates together with the complete monthly cost. If it works, add a second. If it doesn’t, you’ve lost 30 days’ notice and nothing else.
